Freshsales has a free plan for up to 3 users, but you won’t find it on the pricing page: you switch it on from inside your account. For a small team that’s the place to start. If you need more, Growth is $11 a month per user, so three people pay $33 a month. Pro, at $47 a month per user, is for teams that want sales sequences. Two things about the free plan aren’t confirmed, its contact allowance and its custom fields, so check both in your first week before you rely on them.

Which plan should a one to five person business pick?
Up to three of you: the free plan. It holds a shared deal pipeline in a Kanban view, contacts and accounts, sales email templates, basic dashboards, and connections to Gmail, Outlook, Google Calendar, Zoom, and Teams. That covers the everyday work of a small sales team. Two things aren’t confirmed: Freshworks gives no contact allowance for it, and whether it includes any custom fields is unclear: one help article says a few per module, a newer one says none.
Four or five, or you need what free won’t give you: Growth. It adds contact lifecycle stages, custom fields, and basic workflows. Four people pay $44 a month, and five pay $55 a month.
Pro is for a different kind of team. It adds sales sequences (follow-up emails sent on a schedule), contact scoring, deal insights, custom sales activities, and territory management. Those are tools for a team with more leads than people to chase them, or with salespeople split by region. A team of three that wants more fields doesn’t need any of it.
Say you run a three-person video production studio. Two of you quote projects and one edits, and all three of you check where each job stands. You have about four hundred past clients, and every quote depends on a few details you want on the record: shoot date, budget, and what you’re delivering.
Three people fit the free plan, so start there. On your first day, create those three fields and import your client list. If the free plan lets you add the fields and takes the import, you’re set, and the bill is nothing. If it won’t give you custom fields, that tells you Growth is your real starting price: $33 a month for the three of you.
Pro would let you send a sequence of follow-ups on every quote, at $141 a month. But a client choosing a production company wants a call from the producer, so skip it.
What moves you up a plan?
From free to Growth, it’s usually a fourth person who needs to log in. It can also be custom fields, if your first-day test shows the free plan has none, or wanting basic workflows that move things along for you.
From Growth to Pro, it’s sequences: follow-up emails that send on a schedule until a lead replies. Contact scoring and territory management also live on Pro, and they matter once leads outnumber the people working them. If you’re not losing deals to slow follow-up, stay on Growth.
Enterprise adds forecasting insights, field-level permissions, custom modules, a sandbox, and audit logs. That’s for a sales organization with managers and controls, not an owner-run team.
Skip Freshsales if
- You want published caps to plan against. The pricing page lists no user, contact, or deal caps for any plan, and the free plan’s contact and custom-field allowances aren’t confirmed. When a free CRM plan is enough compares free plans that state their caps.
- You need custom fields on a free plan and can’t afford to guess. The same page shows which free plan publishes a custom-field allowance.
- You’re one person. You may not need a CRM at all yet: see do you need a CRM if you’re the only person selling?
- You’re four or more and want to stay free. The free plan ends at a fourth user. What a CRM costs for 1, 3, 5, and 10 people shows the paid bill at your size.

Every paid plan is priced per user. The pricing page publishes no user, contact, or deal caps. Freshworks’ help center does list custom-field limits for each paid plan, if you build long intake forms.
Costs that are easy to miss
- The free plan needs switching on, and the trial ends hard. Freshworks doesn’t offer the free plan on its pricing page. You sign up, then go to Admin Settings, Account Settings, Plans and Billing, and change the plan to Free. The pricing page’s FAQ says an account that doesn’t pick a plan after the trial is suspended, so make that change before the trial ends.
- The yearly price comes first. The pricing page opens on yearly billing, labeled “SAVE 20%”. Pro is $39 a month per user that way and $47 a month billed monthly.
- Add-ons are separate on every plan. Branded documents and the Freddy AI Agent are priced on top of the plan. Price them before you start if either is the reason you’re choosing Freshsales.
- Every login is a seat. The person who only checks the pipeline on Fridays costs the same as the person who lives in it.
Our view
Freshsales is a good free start for a team of up to three that’s willing to test two things on day one. The free plan fits three people, and Growth is a modest per-user step when you need it. Our position: sign up, switch to Free straight away, create your custom fields and import your list in the first week, and move to Growth only when a fourth person joins or the free plan says no. What you give up is certainty. Freshworks leaves several limits unpublished, so you learn some of them by bumping into them. If you’d rather plan against published numbers, pick a tool that states its caps.

This week, sign up and switch the plan to Free under Admin Settings, Account Settings, Plans and Billing: start Freshsales. Then run the two checks that matter. Create the custom fields your deals need, and import your full contact list. If both work, you’re on a free CRM for up to three people. If the fields are blocked, price Growth for the people who’ll actually log in, and pay monthly until you’ve used it through one full sales cycle.
